Position Overview :
Roles related to the provision of support activities by defining and following specific policies and processes that maximize efficiency for all parts of the business.
Has developed specialized skills or is multi-skilled through job-related training and considerable on-the-job experience
Completes work with a limited degree of supervision
Has an impact through the provision of administrative support activities
Acts as an informal resource for colleagues with less experience
Responsible for the provision of administrative services to Executive Level employees and his/her direct Management Team, ensuring efficient and effective operations and communications
Establish safety as the key priority for all operational strategies, policies, and processes. Model and ensure a rigorous safety discipline, based on proactive behaviors and setting clear expectations for all employees and contractors
Ensure prudent spending on office supplies and support rigorous cost discipline across the organization

Provide clear performance updates to leaders and key stakeholders, proposing solutions to address challenges and initiatives to seize opportunities
Lead and inspire teams by embedding the company's core values of care, courage, and curiosity into the workplace

Oversee the execution of support activities in service of the core operations and maintain stringent budget discipline to run the leanest organization possible for the successful execution of the plan
Responsibilities:
Provides administrative support directly to Executives, exercising confidentiality, tact, and diplomacy
Receives, screens, and directs incoming calls, visitors, mail, and e-mail
Establishes and maintains relationships with local resources, remote resources, and other leads, and identifies solutions to resolve any issues
Maintains files, records, calendars, and diaries; typically arranges business travel, coordinates meeting arrangements, and tracks expenses
Manages end-to-end service requests for stakeholders (e.g., Departmental tickets, etc.)
Manages dashboards, monthly reports, and supports any functional or special projects
Ensures the team has a clear focus on health and safety
Provides support to special projects and other initiatives as directed
Helps with company events and tours
Adds and removes employees from email distribution lists and calendar invites as needed
Completes and submits expense reports
Orders and stocks office supplies; receives, processes, and delivers mail
Creates and tracks DocuSign requests
Coordinates vehicle reservations and keys for employees and for site visits/tours
Manages calendars for those in Leadership, protecting the master schedule, ensuring integrated cadence, gatekeeping introductions, and last-minute requests
Meeting minutes when requested
Organizes, coordinates, and attends bi-annual town halls
Printing, collecting, and communicating information for monthly and weekly leadership meetings
Booking meeting rooms as requested
Required Qualifications
Must have 5+ years of previous administrative experience supporting Executives
Previous experience in manufacturing or construction is helpful
Familiarity with administrative software systems and data handling
Proficiency in MS Suite (Excel, Outlook, Word, PowerPoint) required, SAP helpful
Attention to detail and ability to work across multiple stakeholders
Creative and critical thinking skills to proactively identify ways to improve work processes, procedures, service, and relationships
